Contents of the View Employee Taxes Screen

Use the fields and options to configure the View Employee Taxes screen.

Selection Criteria

Use this group box to select the parameters pertaining to the records you want to review. You can select records for review based on the types of transactions, the employee whose record was changed, the user who made the modifications, and/or the date of any modifications. After you have made your selections, click to fill the table window with the records you selected.

Transaction Type

Use this group box to select which type of transactions to include when selecting records to be displayed in the retrieved records table.

Field Description
Add

Select this check box to include records that are Add transactions.

Delete

Select this check box to include records that are Delete transactions.

Update

Select this check box to include records that are Update transactions.

Identification

Use this group box to select which employee's records to include in your review. You can also elect to review only the modifications made by a single Costpoint user.

Field Description
Employee

Enter, or click to select, the ID for the employee whose records you want to include in the record selection process. This is an optional field; if this field is left blank, Costpoint includes all employees in the search.

User

Enter, or click to select, the ID (Costpoint login ID) for the user who is responsible for the modifications you want to include in the record selection process. This is an optional field; if this field is left blank, Costpoint includes records regardless of who made the modifications.

Date Modified

Enter, or click to select, the date of the transaction modifications to include in the displayed output. This is an optional field; if this field is left blank, Costpoint includes records regardless of when the modifications were made. The format for date is MM/DD/YYYY.

Inquiry Details

Field Description
Employee

This non-editable field displays the employee ID for the employee whose record was modified.

Displayed Name

This non-editable field displays the name that corresponds to the employee ID related to this transaction.

Pay Cycle

This non-editable field displays the pay cycle code that is assigned to the employee as of the transaction date/time.

Tax Service Group ID

This field displays the Tax Service Group ID to which the employee is assigned. This field is used to group the employee for tax reporting purposes.

Nonresident Alien

If this check box is selected, the employee referenced in this transaction is a nonresident alien as of the transaction date/time.

Retirement Plan Covered

If this check box is selected, the employee referenced in this transaction is covered under a retirement plan for W-2 reporting purposes as of the transaction date/time.

Transaction Type
This field displays the transaction type for this row. The types are:
  • A: Add transaction
  • D: Delete transaction
  • U: Update transaction
Modified By (User)

This non-editable field displays the user ID (Costpoint login ID) for the user who made the modifications shown in this transaction.

Date Modified

This non-editable field displays the date on which the modifications took place for this transaction.

Form W-4

Select the version of Form W-4 used by the employee. Valid values are:

  • 2019: Select this option if the most recent W-4 form submitted by the employee is 2019 or its earlier versions.
  • 2020 or greater: Select this option if the employee has submitted the 2020 W-4 form or its succeeding versions.
Federal Filing Status

This non-editable field displays the employee's federal filing status as of the transaction date/time. Valid values are:

  • S (Single)
  • M (Married)
  • H (Head of Household)
  • E (Exempt)
Federal Exemptions

This non-editable field displays the number of federal tax exemptions claimed on Form W-4 by the employee as of the transaction date/time.

Federal Step 2 of W-4

Select this check box if the table for Step 2 of Form W-4 will be used for this employee's filing status. (Step 2 of Form W-4)

No of Federal Dependents

Enter the number of qualifying children under 17. (Step 3 of Form W-4)

No of Other Federal Dependents

Enter the number of other dependents. (Step 3 of Form W-4)

Federal Other Tax Credit Amount

Enter the number of other tax credit amount such as education tax credits and other foreign tax credits. (Step 3 of W-4).

Federal Other Income Amount

Enter the amount of employee's other income. (Step 4a of Form W-4 Step 4a)

Federal Deductions Amount

Enter the total amount of employee's deductions. (Step 4b of Form w-4W-4 Step 4b)

Federal Additional Amount

This non-editable field displays any additional federal tax amount the employee elected to withhold, above the Costpoint-calculated amount as of the transaction date/time.

Federal Override Amt

This non-editable field displays the employee’s federal withholding override amount (in lieu of the Costpoint-calculated amount withheld) as of the transaction date/time.

Federal Override Percent

The field displays the percentage for the related tax that overrides the system-calculated amount. Costpoint uses this amount each pay period.

This method is not supported by IRS W-4 and Deltek assumes no liability if it is used.

Disable ESS Federal W-4/Lock-in letter

When the checkbox is selected, the employee will not be able to access the ESS Federal W-4 screen to change their W-4. If an employee is sent a Lock-in Letter from the IRS, they are not allowed to change their W-4 to withhold a lesser amount.

Subject To FUTA

If this check box is selected, the employee is exempt from Federal unemployment tax as of the transaction date/time.

Subject To Medicare

If this check box is selected, the employee is subject to Medicare Payroll Tax as of the transaction date/time.

Subject To Soc Sec

If this check box is selected, the employee is subject to Social Security Payroll Tax as of the transaction date/time.

Employer Subject to Social Security Accrual via Recompute Taxable Wages

This check box is used in conjunction with the Social Security check box to comply with the presidential memorandum signed 8/8/2020 which mandates a deferral of the employee portion of Social Security tax for compensation paid to employees whose biweekly pretax compensation generally is less than $4,000.

If an employee is subject to deferral of their Social Security withholding under the memorandum, but the employer is still responsible for their portion of the Social Security tax, this screen should be set up as follows:

  1. Clear the Social Security check box in the Subject To group box. This suspends the computation of both the employee Social Security withholding tax and the employer Social Security tax liability on the Compute Payroll screen.
  2. Select the Employer Subject to Accrual via Recompute Taxable Wages check box. This indicates that the employer is still liable for their portion of the Social Security taxes while the employee's Social Security Withholding is in a deferred status from 09/01/2020 through 12/31/2020. If an employee's Employer Subject to Accrual via Recompute Taxable Wages check box is selected on Manage Employee Taxes screen and the check date falls within the 9/1/2020 to 12/31/2020 deferral period, Recompute Taxable Wages application will perform the following:
    • Calculate and populate the Manage Employee Earning History record with the employer's Social Security taxable wages.
    • Calculate and populate the Manage Employee Earning History record with the employer's Social Security tax accrual amount.
    • Calculate and populate the Manage Employee Earnings History record with the employee's Social Security taxable wages.

This check box will only be visible if the Social Security check box in the Subject to group box is not selected.

Note: This check box will have no effect on calculations done on the Compute Payroll application. Since the employee's Subject to Social Security check box is not selected, Compute Payroll will calculate an Employee Social Security Withholding and Employer Social Security Accrual of 0.00. If the Employer Subject to Accrual via Recompute Taxable Wages check box is selected, the employer Social Security accrual will be calculated after posting payroll when Recompute Taxable Wages is run.
W/H State

This non-editable field displays the employee's withholding state as of the transaction date/time.

Taxable Entity State

This non-editable field displays the state where the taxable entity is located.

State Filing Status

This field displays the employee's state withholding filing status as of the transaction date/time. The state withholding filing status field determines which tax withholding tables will be used to calculate the employee’s state taxes.

No of State Exemptions

This non-editable field displays the number of state tax exemptions claimed by the employee as of the transaction date/time.

No of Blindness State Exemptions

This field displays the number of blindness exemptions.

No of Age 65 or Over Exemptions

This field displays the number of age 65 or over exemptions.

No of State Dependents

This non-editable field displays the number of dependent credits claimed by the employee as of the transaction date/time.

First-time claimed dependents This field displays number of additional dependent exemption being claimed for the first time.
First-time claimed dependents year This field displays the year the additional dependent exemption being claimed for the first time.
Number of adopted children

This non-editable field displays the actual number of adopted child dependent exemptions claimed on line 8 of Form WH-4.

No of State Credits

This non-editable field displays the number of state tax credits claimed by the employee as of the transaction date/time.

State Override Amount

This non-editable field displays the employee’s state tax withholding override amount as of the transaction date/time.

State Override Percent

This non-editable field displays the employee’s state tax withholding override percent as of the transaction date/time.

State Additional Amount

This non-editable field displays the employee's additional state tax withholding amount as of the transaction date/time.

Colorado Standard Deduction Source

This field displays whether the employee wants to use the state standard deduction amounts or the amount from the employee's Colorado DR 0004. Valid options are:

  • Use State Standard Deduction Table: Costpoint uses the data from the Manage State Standard Deductions screen to determine the standard deduction amount. If you select this option, the Annual Withholding Allowance field will be hidden and the annual withholding allowance amount is set to 0.00.
  • Use Amount from the Colorado DR 0004: Costpoint uses the annual withholding allowance amount to determine the standard deduction amount.
Colorado Annual Withholding Allowance Amount

This field displays the annual withholding allowance amount. This field is only visible and enabled if the Use Amount from the Colorado DR 0004 option is selected.

Exempt from Nebraska Minimum Withholding Rule

If this check box is selected, the employee was exempt from Nebraska's minimum withholding rule as of the transaction date/time.

PR Veteran Exemption

This check box is selected if the taxable wages will be reduced by the veteran exemption amount. This check box is applicable only if the withholding state is PR (Puerto Rico).

PR Special Deduction

This check box is selected if the taxable wages will be reduced by the special deduction amount. This check box is applicable only if the withholding state is PR (Puerto Rico).

WA Cares Fund Exemption

If this checkbox is selected, the employee has an approved WA Cares exemption as of the transaction date/time.

WA Cares Fund Exemption Effective Date

This field displays the date the employee's WA Cares Fund exemption takes effect.

WA Cares Fund Exemption End Date

This field displays the end date of employee's Washington Cares Fund conditional exemption.

SUTA State

This non-editable field displays the employee's SUTA state as of the transaction date/time.

Subject to SUTA

If this check box is selected, the employee has unemployment insurance coverage for the specified SUTA State.

Owner (DC, MD, MA, MI, MN, MO, NM, OH, SC, WA)

If this check box is selected, the employee is a company owner.

Probationary Employee (MO)

If this check box is selected, the employee was employed no longer than 28 consecutive calendar days on a test or trial basis as of the transaction date/time.

Occupational Code/SOC Code (AK, IN, LA, OH, SC, WA, WV)

This field displays the employee's occupational code as of the transaction date/time.

Seasonal Code (AK, IN)

Enter the seasonal designator (optical) code.

County (WV)

This field displays the county to be reported in the SUTA file. For West Virginia, this is the county name in which the majority of the employee's job duties are performed.

Geographic Code (AK)

This non-editable field displays the employee’s Alaska primary work site geographic code as of the transaction date/time.

Worksite Number (IN, IA, MA, MI, MN, NM)

This field displays the worksite number as of the transaction date/time.

Class Code (WY)

This field displays the employee's class code as of the transaction date/time. Valid class code options are:

  • C: Corporate Officer
  • I: Inmate Worker
  • J: Job Training Program Act (JTPA) Worker
  • P: Partner
  • S: Sole Proprietor
  • V: Volunteer
  • W: Welfare
  • I: Independent Contractor
  • N: No Class Code
Corporate Officer ID (WY)

If the WY Class Code is C (Corporate Officer), this non-editable field displays the employee's corporate officer ID as of the transaction date/time. Valid options are:

  • P: President
  • V: Vice President
  • S: Secretary
  • T: Treasurer
  • O: Other
  • N: None
Coverage Type (WY)

This non-editable field displays the coverage type to which the employee was subject as of the transaction date/time. If the employee was subject to both unemployment and workers' compensation, this field displays B (Both). Valid options are:

  • U: Unemployment Only
  • W: Workers Compensation Only
  • B: Both
  • N : None
Employee/Employer Relationship (DC)

This field displays the employee’s Employee/Employer Relationship code entered on the Manage Employee Taxes screen.

  • 0-Worker/Employer: Code 0 indicates that there is no relationship between the worker and the employer.  Most workers will fall into this category.
  • 1-Owner or Officer: Code 1 indicates that the worker is also an owner or officer of the business.
  • 2-Spouse of Owner or Officer: Code 2 indicates that the worker is a spouse of an owner or officer of the business.
  • 3-Parent/Grandparent of Owner or Officer: Code 3 indicates that the worker is a parent or grandparent of an owner or officer of the business.
  • 4-Child of Owner or Officer: Code 4 indicates that the worker is a child under 18 years of age of an owner or officer of the business.
  • 5-Sibling of Owner or Officer: Code 5 indicates that the worker is a sibling of an owner or officer of the business.
  • 6-Board Member: Code 6 indicates that the wages reported are for a board member of the business.

This field is optional if you are not reporting D.C. SUTA wages for this employee.

Wage Plan Code (CA)

This non-editable field displays the employee’s California unemployment insurance and disability insurance plan code as of the transaction date/time.

VI U.S. Citizenship

This field displays the employee's U.S. citizenship status as of the transaction date/time. This is used to report the U.S. citizenship status of the employee when reporting Virgin Islands SUTA information to Ceridian Tax Services (CTS). Valid settings are:

  • None
  • U.S. citizen
  • Non-citizen with permanent residence ID card issued by USINS
  • Alien holding temporary or indefinite work permit
