Contents of the Manage Employee Earnings History Screen

Use the fields and options to configure the Manage Employee Earnings History screen.

Identification

When entering a new record, use this group box to specify the employee ID, taxable entity, fiscal year, period, and posting seq number. It is important to remember that any modifications to this table may require a general journal entry, because data entered directly onto this screen does not automatically update the General Ledger in any way.

Field Description
Employee

Enter the ID for each employee whose earnings you want to initialize, or click to select the ID. You can enter more than one initialization record for each employee, each with a separate date, so that you can separate earnings for previous quarters and for the current quarter.

For example, if you initialize Costpoint on June 1 and you want to take advantage of Costpoint's reports under Tax Reporting for the second quarter, you must enter two records for each employee: one record with a date of March 31 to cover all earnings in the first quarter, and one record with a date of June 30 to cover all earnings to date in the second calendar quarter.

To edit or view a record for an employee, click and select the employee's record.

If the employee belongs to a union, and the Union Employee checkbox is selected on the Manage Employee Information screen, you cannot save any changes made to the record in this screen. You must use the Compute Payroll screen or Manage Payroll Records screen instead.

Taxable Entity

Enter, or click to select, the taxable entity ID for this record. Taxable entity IDs are established on the Configure Company Information screen. This is a required field.

Type

The only valid entry when inserting a record into this table is Z. This signifies that a manual entry was made and the General Ledger was not affected. This is a required field.

When selecting records from , this non-editable field displays the type of record that has been processed. The valid types are:

  • R: This represents regular paychecks. These types of paychecks can be generated only from a timesheet. Timesheet types of Regular and Correcting are combined to create Regular paychecks.
  • B: This represents bonus paychecks. These types of paychecks can only be generated from a timesheet. The timesheet type is Bonus.
  • V: The V paycheck type represents the negative values of the voided check generated by the Void/Replace Posted Paychecks screen.
  • W: The W paycheck type represents the positive values of the replacement check generated by the Void/Replace Posted Paychecks screen. 
  • X: This indicates that a paycheck was generated without first entering a timesheet, or that a correcting entry was made for an existing record.
  • Y: This indicates that a paycheck was generated without first entering a timesheet, or that a correcting entry was made for an existing record. There are no differences between X and Y records. There are two available record types so that two entries per person per Payroll Journal posting can be made.
Union Employee
This checkbox indicates whether the employee was a union employee when the payroll record was created. The value was based on the employee's Union Employee checkbox on the Manage Employee Information screen and was set through the following:
  • When a R-Regular or B-Bonus record was created by the Compute Payroll application
  • When an X or Y record was manually entered in Manage Payroll Records
Note: For V-Void and W-Replacement records, the value from the check being voided is retained. This checkbox is not editable. You can view this checkbox if the Enable union functionality checkbox is selected on the Configure Labor Settings screen. If it is selected, the union fringe detail will be visible on the Deductions and Contributions subtasks.
Deferred Social Security Withholding Repayment

On August 8, 2020, a memorandum to the Coronavirus Aid, Relief, and Economic Security (CARES) Act was signed, which mandated the deferment of the employee portion of Social Security taxes for the period of September 1, 2020 to December 31, 2020. At the end of August 2020, the U.S. Treasury announced that the deferred tax withholding would have to be paid between January 1, 2021 and April 30, 2021.

If this checkbox is selected, it indicates the X or Y record was used to repay deferred Social Security withholding and only the following fields will be editable:
  • Check Number
  • Check Date
  • Social Security Employee Withholding
  • Social Security Employer Accrual
  • The Pay Type column on the Pay Types subtask (if the Enable multi-state Tax functionality checkbox not selected for employee's pay cycle)
  • The Withholding State and Pay Type columns on the State Pay Types subtask (if the Enable multi-state tax functionality checkbox is selected for employee's Pay Cycle)

This checkbox will only be visible if the Record Type is X or Y and the Pay Period End Date is in 2020 or 2021.

Pay Cycle

This field displays the pay cycle assigned to the employee when the payroll record was created.

Pay Cycle End Date

This field displays the pay period end date for the payroll record. When entering a new Z record, the end date for the open pay period will default.

Fiscal Year

If you queried a record that is not a Z type, this field displays the fiscal year to which the payroll record was posted. When entering a new Z record, enter, or click to select the fiscal year for which this entry applies. Note that Z records are not posted to General Ledger, so this value can be ignored for Z records.

Period

If you queried a record that is not a Z type, this field shows the period to which the payroll record was posted. When entering a new Z record, enter, click to select the period for which this entry applies. Note that Z records are not posted to General Ledger, so this value can be ignored for Z records.

Posting Seq No

If you queried a record that is not a Z type, this field displays the posting sequence used when the payroll record was posted. When entering a new Z record, enter 1. You may need to increment the value if a record already exists for the employee/record type/fiscal year/period combination. Note that Z records are not posted to General Ledger, so this value can be ignored for Z records. .

You cannot use this subtask unless the Enable multi-state tax functionality checkbox is selected for the employee's Pay Cycle on the Manage Pay Periods screen.
