Amounts Subtask

Use this subtask to view, copy, or create cost records for vendor materials, subcontractor work, consultant effort, staff and vendor travel, and other direct costs.

Subtask Header

In addition to basic information about the project, such as the ID, type (budget or EAC), or version number, the header of the subtask displays additional read-only details, including:
  • Period of Performance
  • Burdened Cost Total
  • Hours Total
  • Raw Cost Total

The following fields display on the Amounts subtask:

Field Description
Hide Click this button to hide project budget/EAC rows that have the Hide Row check box selected.
Note: This button only displays if the Enable Subtask Row Hide check box is selected.
Unhide Click this button to display hidden project budget/EAC rows.
Note: This button only displays if the Enable Subtask Row Hide check box is selected.
Column Headings Description
Hide Row Select this check box if you want to hide the project budget/EAC resource.
Note: This column displays only if the Enable Subtask Row Hide  check box is selected.
Warnings This column displays the number of warnings that occurred per record.
Note: The Warning messages display on the Warnings subtask.
ID Type Select the ID Type for Amount Type you selected. The options that display vary depending on the value selected in Amounts Type.

If you chose Materials, options include:

  • Key Entry
  • Vendor

If you chose Subcontractor, options include:

  • Key Entry
  • Vendor
  • Vendor Employee

If you chose Material Handling, options include:

  • Key Entry
  • Vendor

If you chose Travel, options include:

  • Employee
  • Generic Staff

  • Vendor

If you chose Consultant, options include:

If you chose Other Direct Cost, options include:

ID Click to select the ID.
Name This column displays the resource name.
Explanation Use the this column to enter a description, purpose, or general explanation of the associated cost for any option selected from the Amounts Type list, such as Travel, Materials, Vendor, and so on.
Acct ID This column displays the labor account ID of the resource.
Org ID This column displays the Org ID of the resource.
Rev Uncheck the box in this column for any individual resource where you do not want revenue calculated.
Brd This column displays the overhead expenses for the project selected.
Total Inc Pending

This column displays the total EAC amount plus the current pending charges.

Pending

This column displays the pending charges.

Prev EAC This column displays the value of the previous EAC.
Note: The Prev EAC column is included only on Working status EACs.
Total

Enter the total amount for the resource in this field.

You can then manually distribute the amount per period, or click the Tab key to display the Distribute dialog box, where you can choose to automatically distribute the total amount across all the periods.

Note: The distribution methods that are available to you, including custom versions, depend on configuration set by your System Administrator.

When you allocate amounts using one of the pre-defined distribution methods, allocation percentages total 100%, regardless of the amount available per period or the method selected

Regardless of the number of periods, the amount distributed to each is adjusted according to the spread method, and the underlying percentages remain the same.

In the Distribute dialog box, begin by selecting an option from the Distribution Method drop-down list. Choose from the following:
  • Backload:: This method allocates most of the cost toward the end of the budgeting period.
  • Bell: This method allocates allocates minimal cost at the beginning, and then gradually increases in the middle and tapers off at the end.
  • Double Peak: This method allocates most of the cost in two peaks, one near the beginning and one near the end.
  • Evenly (Linear): This method divides the value that you enter in Total by the total number of periods and then distributes the result equally across them.

    For example, if the total is 1000 and there are 12 periods, 83.33 is applied to each period.

  • Early Peak: This method allocates most of the cost at the beginning.
  • First Period: This method allocates all the cost to the first period.
  • Front Load: This method allocates most of the cost at the beginning.
  • Last Period: This method allocates all of the cost to the last period.
  • Late Peak: This method allocates most of the cost at the end.

For EACs, the distributed value is automatically adjusted to reflect actuals.

Note: The Distribute dialog box also includes a Spread Points section, where the fields are display-only. The percentages in these fields represent how amounts are distributed.
YY-MM-DD A column displays per month of the fiscal period, which can be filtered using the Fiscal Year field in the header.

Warnings Subtask

Use the Warnings subtask to view messages that identify potential issues on Working Status budgets for the selected record. This subtask displays only if warnings exist.

Column Headings Description
Cost Type This column displays the cost type.
ID Type This column displays the ID Type.
ID This column displays the ID.
Name This column displays the name of the resource.
Org ID This column displays the Org ID.
Acct ID This column displays the account ID.
Warning This column displays the warning message.

Fill Value

This subtask displays only on Working status budgets or EACs. Use the fields on the screen to configure options for auto-filling the period columns with data from existing sources.

Start by selecting the row(s) you want to update and then click the Fill Values subtask link to display the Fill Values to Selected Record/s form, where you can select a fill method and set date parameters.

Select Fill Method

The Select Fill Method drop-down list provides three different options, which are described in more detail in the table below. Additional fields may display depending on the method selected, and each method requires you to select the range of periods you copy from.

For example, if Start Period set to 12/31/23 and End Period is set to 4/30/24, data for the selected method is captured for that range of periods. After you click Fill, the row or rows that you selected in the subtask populate with information encompassed by those dates.

The table below describes the four different fill methods and any additional fields that display.
Column Headings Description
Copy from Source Record Select this option to copy subtask row details from one resource to another. A Source Record field displays on the dialog box that enables you to select the record you want to copy from.
Specify Amounts Select this option to fill the period columns of the selected rows with a specific amount. An Amounts field displays on the dialog box, where you can type the amount.
Use Start Period Amounts

Select this option to copy the amounts that exist in the selected starting period to all periods up through the selected ending period.

For example, if you set Start Period to 12/31/23 and End Period to 9/30/24, the amounts that exist in the first period are copied to every period up to 9/30/24.

Fill After you have selected your fill method and set the start and end dates, click Fill to populate the period columns of the selected rows in the Hours subtask.
