Contents of the Create Purchase Requisitions From Sales Orders Screen

Use the fields and options to configure the Create Purchase Requisitions From Sales Orders screen.

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. The saved parameters are also useful and necessary when you want to run the process as part of a batch job. Many users save a unique set of parameters for each different way they run a report or process. When you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters automatically display as selection defaults. The page setup and print options, if there are any, are also included in the saved parameter ID. You can change any of the associated selection defaults as necessary.

Field Description
Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made on the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made on the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display on the screen, you can override the defaults.

Description

Enter, or click to select, a parameter description of up to 30 alphanumeric characters.

Selection Ranges

Use the fields in this group box to select the ordered items for which you wish to generate requisitions. From the upper left drop-down list, select a category by which you want to select items to generate requisitions. Valid options are:

  • Catalog
  • Customer
  • Project
  • Sales Order
Field Description
Option

From the drop-down list, select the range option for generating requisitions based on the item category that you selected. Valid options are:

  • All: Select this option to include all available records. You cannot use the Start and End fields for this option. This option displays as the default selection.
  • One: Select this option to include only one record. You must enter that value in the Start field. You cannot use the End field for this option.
  • Range: Select this option to include a contiguous range of records. You must enter the beginning value for the range in the Start field and the ending value of the range in the End field.
  • From Beginning: Select this option to include all the records from the beginning of the available records to a specific record. You must enter the last value for the range in the End field. The Start field is disabled for this option.
  • To End: Select this option to include all the records from a specific record to the end of all the available records. You must enter the value from which the range should begin in the Start field. You cannot use the End field for this option.
Start

Enter, or click to select, a value for the beginning of the range.

End

Enter, or click to select, a value for the end of the range.

Non-Contiguous Ranges

Select this check box to create a list of ranges on the subtask for the selected item category.

Note: If you select this check box, you must create the list of non-contiguous ranges in the subtask for the item category you selected in this group box. For example, if you select Catalog as the category and select this check box, you must use the Catalog Non-Contiguous Ranges subtask to create a list of ranges.

SO Line

Use the fields in this group box to generate requisitions only for selected lines within a single sales order.

Note: These fields are available only if you chose Sales Order from the Select By drop-down list, with a Range Option of One.
Field Description
Option

From the drop-down list, select the range option for choosing sales order lines from which to generate requisitions . The following options are available:

  • All: Select this option to include all available records. You cannot use the Start and End fields for this option. This option displays as the default selection.
  • One: Select this option to include only one record. You must enter that value in the Start field. You cannot use the End field for this option.
  • Range: Select this option to include a contiguous range of records. You must enter the beginning value for the range in the Start field and the ending value of the range in the End field.
  • From Beginning: Select this option to include all the records from the beginning of the available records to a specific record. You must enter the last value for the range in the End field. The Start field is disabled for this option.
  • To End: Select this option to include all the records from a specific record to the end of all the available records. You must enter the value from which the range should begin in the Start field. You cannot use the End field for this option.
Start

Enter, or click to select, a value for the beginning of the sales order line number range.

End

Enter, or click to select, a value for the end of the sales order line number range.

Non-Contiguous Ranges

Select this check box to create a list of ranges on the SO Line Non-Contiguous Ranges subtask.

Options

Select for Requisition Creation

Use this group box to define the SO line types, components, and items that will be included in creating requisitions.

SO Line Types

Field Description
Inventory

Select this check box to include INV (Inventory) sales order line types in requisition creation.

Intransit

Select this check box to include INT (In Transit) sales order line types requisition creation.

Drop Ship

Select this check box to include DRP (Dropshipment) sales order line types in requisition creation.

Recurring

Select this check box to include REC (Recurring) sales order line types in requisition creation.

When you create requisitions for recurring SO line types, the requisition line Notes field also includes the quantity, unit price, billing cycle, and billing period for each SO line, in addition to the corresponding SO line notes, wherever requisition line notes information displays (such as on the Manage Purchase Requisitions, Approve Purchase Requisitions, and View Purchase Requisition Status screens).

Invoice Only

Select this check box to include INO (Invoice Only) sales order line types requisition creation.

Miscellaneous

Select this check box to include sales order MSC (Miscellaneous) line types in requisition creation.

Components

The check boxes in this group box affect only sales order lines with components.

Note: If you select more than one of the check boxes, Costpoint generates requisitions for the components of a sales order line and the sales order line itself.
Field Description
Issue Components

If a sales order line has components and if the Issue Components field displays Yes on the Manage Sales Orders screen table window, select this check box to generate requisitions for the components.

Non-Issue Components

If a sales order line has components and the Issue Components displays No on the Manage Sales Orders screen table window, select this check box to generate requisitions for the components.

Create Reqs for SO Items with Components

If a sales order line has components, select this check box to generate requisitions for the sales order items.

Make Parts

Select this check box to include items with make parts in the requisition creation process.

Pending Sales Order

Select this check box to include the sales orders that have been assigned a pending status for requisition creation. The creation process only includes approved orders. You cannot create requisitions for orders with statuses of In-approval, Void, Rejected, System-Closed, or Closed.

Material Availability

Use this group box to identify the quantities and search criteria that will be used by Costpoint to calculate requisition quantities.

Include

Field Description
Qty on Hand

Select this check box to include the current on-hand inventory quantities in the calculation to determine requisition quantities.

Qty on Req

Select this check box to include the current on-requisition inventory quantities in the calculation to determine requisition quantities.

Qty on Order

Select this check box to include the current on-order inventory quantities in the calculation to determine requisition quantities.

Qty in MRB

Select this check box to include current Material Review Board (MRB) inventory quantities in the calculation to determine requisition quantities.

Search Criteria

The requisition creation process searches across user-selected sales abbreviations, inventory abbreviations, or project levels to calculate current available quantities and the quantities to be requisitioned. From the drop-down list, select the search criteria used by the creation process. Valid options are:

  • SO Inventory Abbrev Only: Select this option to search for inventory only within the inventory abbreviation entered on the sales order line.
  • Project: Select this option to search all inventory abbreviations sharing the same project associated with the inventory abbreviation entered on the sales order line. Costpoint uses available quantities for all levels to calculate requisition quantities.
  • Top Level Project: Select this option to search all projects with the same top-level project associated with the inventory abbreviation entered on the sales order line. Costpoint uses available quantities for that level to calculate requisition quantities.
  • All Inventory Abbrevs: Select this option to search all inventory abbreviations in Costpoint for available quantities of the ordered item. Costpoint uses the available quantities to calculate requisition quantities.

BOM Explosion

If the sales order item is established as a bill of material (BOM), use the options in this group box to have Costpoint explode the BOM and create requisition line items for its sales order lines and component line items.

Field Description
BOM Explosion

From the drop-down list, select the BOM explosion process that you prefer. Valid options are:

  • Do Not Explode BOMs: Select this option to disable BOM explosions.
  • Explode SO Line Item BOMs: Select this option to explode the SO line BOM item normally. This option ignores any SO line components when this explosion is performed.
  • Explode Component BOMs: Select this option to begin the explosion process from the component line items rather than the sales order line itself (if components exist for the sales order line). The explosion process uses the components' configuration and as-of date when exploding the BOM and the components' order quantities, inventory abbreviations, and need dates when populating the requisition. If the sales order line does not contain any components, the SO line item's BOM is exploded.
Level of Explosion

From the drop-down list, select the BOM level affected by the explosion. Valid options are:

  • All: Select this option to explode the BOM to all structured levels. Costpoint searches each level of the BOM and creates requisition lines each component. The part entered on the sales order line is verified as a buy part.

    As the BOM for the part is exploded, Costpoint checks the components to determine whether you have selected the Stop Explosion check box on the Manage Manufacturing Bills of Material

    If you selected the Stop Explosion check box for a component, all components structured under the affected part are ineligible for requisition generation. Components entered on the Maintain MBOM screen with a quantity type of O (Per Order) use the quantity from that BOM line as the requisition quantity.

  • One: Select this option to limit the explosion to the first structured level of the BOM. Costpoint searches the top level of the bill and create individual requisition lines for the components.

Generate

Field Description
Starting Req No

Enter the starting requisition number for the generation and assignment of eligible, sequential requisition numbers. This field defaults from the Last System Req Number field on the Requisition Settings screen.

Requisition Date

Enter the requisition date for the generated requisitions. The system date defaults.

Requisitioner

Enter, or click to select, a valid employee ID for the requisitioner in this field. This field is required.

Requested Date

Field Description
Calculation

From the drop-down list, select the date that will used to populate the requested date in the generated requisition lines. Valid options are:

  • Due Date: Select this option to populate the requested date in the generated requisition lines with the due dates from the sales order line items. To calculate the requested date, update the Subtract No of Days field with an appropriate number of days to subtract from the sales order line due date. The requested date is required for the requisition line.
  • Ship By Date: Select this option to populate the requested date in the generated requisition lines with the ship-by date from the sales order line items. To calculate the requested date, update the Subtract No of Days field with an appropriate number of days to subtract from the sales order line ship-by date. The requested date is required for the requisition line.
Subtract No of Days

The generation process populates the requested date field in the generated requisition lines with either the due date or the ship-by date from the respective sales order line item. Enter the number of days to be subtracted from the chosen sales order date to calculate the requested date, which will be assigned to the requisitions. This field displays zero as the default value.

Apply SO Trans Currency

Select this check box to make the transaction currency for generated requisitions equal to that of the associated sales orders.
