Request to Refund Now (No Sales Order)

This is the recommended process for handling a Refund Now disposition type without an original sales order.

This process is for a customer return that does not have the original sales order in Costpoint, and has a disposition of Refund Now. This means that you will refund the customer prior to receiving the originally sold item because you either do not want the item returned or the item can be returned after the refund takes place.

To request for an immediate refund:

  1. Go to the Manage Customer Returns screen.
  2. Create a return for the customer and item.
  3. In the Email Address field of the Customer Contact Info tab, enter the email address of the customer to send an email notification to the customer.
  4. In the Employee field of the RMA Header tab, enter your employee ID. Make sure to verify the RMA expiration date.
  5. In the Item field, enter the item name.
  6. In the Return Qty field, enter the quantity.
  7. In the Return Reason field, enter the reason for returning the material.
  8. In the Inv Abbrev field, enter the inventory abbreviation where you want to return the item.
  9. From the Order/Payment Disposition Requested drop-down list, select Refund Now.
  10. Select the Disposition Approved checkbox.
  11. Select the Material Return Required checkbox, if you want the material to be returned.
    If selected, then upon save, an RMA PO will be created for you to receive the materials. The RMA PO ID will be visible in the header section of the screen.
  12. Enter a warehouse ID with an RMA location if the item is to be returned to the warehouse.
  13. Select the Submit checkbox and click Save.
    An email will be sent to the customer email address, if indicated in the settings.
  14. Go to the Manage Purchase Order Receipts and receive the purchase order line for this material into an RMA location.
  15. Return the item to inventory or scrap the material based on your process.
  16. Process open billing details to refund the customer and create journal entries in Accounting to adjust the cost of sales.
