Corporate Labor Settings Subtask

Use the Corporate Labor Settings subtask to establish or modify settings related to timesheet processing and labor functions.

You can change the settings in this subtask if your user ID is assigned access rights. Otherwise, this subtask is non-editable.

Employee ID

Field Description
Employee ID Length

Use this field to determine the number of allowable characters, between 1 and 12, for the employee ID. If you selected the Use Social Security Number for Employee ID checkbox, this field can be only 11 characters long. This is a required field.

Note:

If you make a change to the Employee ID Length or to the Use Social Security Number for Employee ID checkbox, you must exit and reenter Costpoint to make either change effective.

Use Social Security Number for Employee ID

Select this checkbox to require that the Employee ID field contain the social security number of an employee. It automatically enables the Employee ID field with a mask in the form of "___-__-____," and it automatically fills in the Social Security No field from the Employee ID field in the Basic Employee Info table in Costpoint Employee. Select this checkbox to have Costpoint perform a numeric-only edit on the first 11 characters (counting the dashes) of the employee ID when you add employees. In this table, the Employee ID field length is set to a minimum of 11 characters.

Note:

If you make a change to this checkbox or the Employee ID Length setting, you must exit and reenter Costpoint to make either change effective.

Warning:

You must decide soon after installation how to set this checkbox. Changing the status of this checkbox after initializing Costpoint may compromise data integrity. If you enter employees with this checkbox not selected, the employee IDs are stored without the dashes. If you need to access these previously entered employees, you must delete them under the old setting and reenter them under the new setting. If you have a large number of employees, you may need to run a conversion program instead (call Costpoint Technical Support before attempting this).

Auto-Generate Employee IDs for All Companies

Select this checkbox if you want new employee IDs for all companies within your corporation to be auto-generated in Costpoint. This functionality is currently enabled for Deltek Talent Management users only.

Warning: If you choose to auto-generate employee IDs, you will not be able to use the Import Employee Data application to import employees using a data file.

If you select this checkbox, you will have access to the following screens:

  • Manage Employee ID Formats: You must use this screen to set up the rules for auto-generating employee IDs.
  • Manage Employee ID Defaulting Rules: You must use this screen to set up the rules for implementing the employee ID formats. Use this screen after establishing the formatting of employee IDs on the Manage Employee ID Formats screen.

Deltek Time and Expense Settings

If you are licensed to use Deltek Time and Expense, use this group box to select the software version that you are using.

Field Description
Separate System for Employees and Subcontractors

If you use Time and Expense version 10.x or above, you could export master and resource data for subcontract resources. These subcontract resources may be handled through a separate Time and Expense systems or through the same Time and Expense system used by employees. 

Select this checkbox if you want subcontract resources to be handled through a separate system. The Subcontractor File Location field on the Export Data to Deltek Time and Expense screen becomes enabled when you select this checkbox. This checkbox also enables the Subcontractor Version drop-down list on the screen.

If you are handling employees and subcontractors in the same Deltek Time and Expense system, clear this checkbox.

Note:

You can view this checkbox only if your company has a Subcontractor Management license.

Version

From the drop-down list, select which version of Time and Expense (formerly Electronic Timesheet (ET) or Time Collection) your company is using. Depending on your settings in Costpoint and in Time and Expense, Costpoint uses this value to determine which applications in the Time and Expense Interface menu you can access. Valid options are:

  • None
  • Time & Expense (standalone) 9.x
  • Time & Expense in Costpoint 8.x

Select None to disable access to all applications in the Time and Expense menu.

Subcontractor Version

From the drop-down list, select which version of Time & Expense your company is using. Depending on your Costpoint and Time & Expense settings, Costpoint uses this value to determine which applications in the Time Collection (ET) Interface menu you can access. Valid options are:

  • None
  • Time & Expense in Costpoint 8.x
Note: You can view this checkbox only if your company has a Subcontractor Management license.

Deltek Time and Expense Export Settings

Field Description
Project Name

Select the method that is used to build the project name for export to Deltek Time and Expense. The descriptions for projects exported to the UDT02 file reflect the option selected. Options are:

  • Project Level: Select this option to populate the UDT02 description field with the project’s name. 
  • Top Level/Project Level: Select this option to populate the UDT02 description field with the name of the project’s top-level project and the name of the project.
  • Project Long Name: Select this option to populate the UDT02 description and CHARGE project-based CB record's Branch Description field with the project's long name.
Export Project Managers (UDT02_SPVSR)

Select this checkbox to include the project role or project manager data in the UDT02_SPVSR_YYYYMMDDHHMMSS.CSV file.

If the following are all true, the Project/Employee/Role combinations established in the Manage Project Roles screen will be included in the UDT02_SPVSR file. Project Role records that meet the following conditions will be selected:

  • The project is set up on the Manage Project Roles screen.
  • The project's Active checkbox is selected on the Manage Project User Flow screen.
  • The project's Export Project method is Time Collection Project, Expense Project, or Time & Expense Project in the Basic Info tab in the Manage Project User Flow screen.
  • The role code's T&E checkbox is selected on the Manage Functional Roles screen.
  • The user ID that's linked to the project and role code on the Manage Project Roles screen is linked to an employee in the Manage Users screen.
  • The same employee has a Manage Employee Salary Information screen record that includes the system date.
If a project is not set up in the Manage Project Roles screen, but does meet the following criteria, the Project/Project Manager combination will also be included in the UDT02_SPVSR file with a role of "PM":
  • The project's Active checkbox is selected on the Manage Project User Flow screen.
  • The project's Export Project method is a Time Collection Project, Expense Project, or Time & Expense Project in the Basic Info tab on the Manage Project User Flow screen.
  • A project manager is specified in the Details Tab on the Manage Project User Flow screen.
  • The same project manager has a Manage Employee Salary Information screen record that includes the system date.

MO Build Description

There are two ways to create the description for MO charges

Note:

If you are a Costpoint GovCon Moderate Cloud user, the MO Build Description will automatically be set to use the Build Part Description and not the Build Part ID.

Field Description
Use Build Part Description

Select this option to use Build Part Description for the description of MO charges. If this is selected, then description will be "Build Project ID + “-“ + Build Part Description". This will be truncated to 120 characters.

Use Build Part ID

Select this option to use the ID of the part being built for the description of MO charges. If this is selected, then description will be "Build Project ID + “-“ + Build Part ID".

Project Mapping

The fields in this group box will be used to populate the User-Defined Code 1, User-Defined Code 2, and User-Defined Code 3 fields in the Project (UDT02) file that is generated in the Export Data To Deltek Time and Expense application. The following options are available in each drop-down list:

  • None
  • Owning Org
  • Project Classification
  • Customer
  • Account Group
  • Abbreviation

For example, if you select Owning Org in the User-Defined Code 1 drop-down box, the project's Owning Org will be used to populate the User-Defined Code 1 field for each project that is exported in the Project (UDT02) file

The values for each of these options are established on the Manage Project User Flow screen. If you select an option other than None in any of the User-Defined Code fields, the specified Costpoint value will be included in the Project (UDT02) file.

These fields are only available if you're licensed for Deltek Time and/or Deltek Expense.

User-Defined Code 1

Use this drop-down list to select a Costpoint field that is mapped to the Deltek Time and Expense UDT02 User-Defined Code 1 field.

User-Defined Code 2

Use this drop-down list to select a Costpoint field that is mapped to the Deltek Time and Expense UDT02 User-Defined Code 2 field.

User-Defined Code 3

Use this drop-down list to select a Costpoint field that is mapped to the Deltek Time and Expense UDT02 User-Defined Code 3 field.

Account Mapping

The fields in this group box will be used to populate the User-Defined Code 1, User-Defined Code 2, and User-Defined Code 3 fields in the Account (UDT01) file that is generated in the Export Data To Deltek Time and Expense application. The following options are available in each drop-down list:

  • None
  • Entry Group
  • Account Type

For example, if you select Account Type in the User-Defined Code 1 drop-down box, the account's Account Type will be used to populate the User-Defined Code 1 field for each account that is exported in the Project (UDT02) file.

The values for these options are assigned to accounts on the Manage Accounts screen. If you select an option other than None in any of the User-Defined Code fields, the specified Costpoint value will be included in the Account (UDT01) file.

User-Defined Code 1

Use this drop-down list to select a Costpoint field that is mapped to the Deltek Time and Expense UDT01 User-Defined Code 1 field.

User-Defined Code 2

Use this drop-down list to select a Costpoint field that is mapped to the Deltek Time and Expense UDT01 User-Defined Code 2 field.

User-Defined Code 3

Use this drop-down list to select a Costpoint field that is mapped to the Deltek Time and Expense UDT01 User-Defined Code 3 field.

FLSA Settings

Use this table to specify FLSA rates that are used as a basis for validating whether an employee’s salary level is eligible for FLSA exemption. Set up this table if you want Costpoint to use salary to validate an employee’s FLSA exemption status.

Field Description
Effective Date

Enter the effective date of the FLSA annual exemption basis. 

Annual Exemption Basis

Enter the FLSA annual exemption basis. This value is specified by the U.S. Department of Labor. The application uses this value to determine whether an employee's salary makes him eligible for FLSA exemption. If an employee's salary is greater than or equal to the amount you enter here, the employee is regarded as eligible for FLSA exemption.
