Contents of the Quick Entry Expense Authorization Screen

Use the fields and options to create a simplified expense authorization.

Note: For Costpoint Cloud, you can choose to opt in to this feature for the Costpoint 8.2.12 release. The ability to opt in is temporary and will be removed when the feature becomes automatically enabled for all users as part of a future Costpoint release. See the Manage Opt-In Features topic for more information.

Header

Field Description
Authorization ID

This non-editable field displays the expense authorization ID number. Time & Expense assigns the number, which is incremental, after the expense authorization is saved.

Click the hyperlinked ID number to view details about the expense authorization, such as Class, charge, and account.

The charge that displays is the primary charge for the expense authorization.

Report ID This field displays the Report ID. Click to select it
Date This field displays the date on which the expense authorization was created
Type This field displays the expense report type.
Description This field displays the description associated with the expense authorization.
Overall Attachment

This hyperlinked field displays the number of overall attachments, such as airfare quotes or hotel confirmations. Click the link to review existing attachment or add new ones.

The Attachment dialog includes the following fields and buttons:

  • Attachment Type: This field displays the type of attachment that is required for this item. For expense level items, the attachment type might be an airfare quote, but for an expense authorization level item, the attachment type might be a trip approval form. The attachment type displays by default if only one type is available

  • Required: This field indicates whether the attachment is required.

  • Filename : If this box is checked, the item must be attached to the expense report..

  • Reason for Missing Attachment: The reason you provided for the missing attachment displays in this field.

  • Completed By: This field the name of the person who completed the attachment task.

  • Attach: Click this button to upload an attachment.

  • Missing: Click this button to display the Explanation dialog box, where you can enter a note regarding the status of the item.

  • View: Click this button to view a selected attachment.

  • Remove: Click this button to remove a selected attachment.

  • Apply: Click this button to apply and save changes.

Total Estimate

This field displays the total estimated expenses for the authorization.

Expenses Table

Use this table to enter or view the planned expenses for the authorization. Click to select it.

Field Description
Add Click this button to add a row to the table, where you can select an expense to add.
Delete Click this button to delete an expense from the table.
Line This cell displays the number for the current line.
Expense Type Click to select the type of expense you want to add, such as meals.
Project Click to select a project code from Lookup.
Attachment This field displays a hyperlinked summary of the number of attachments attached, as well as the number of missing attachments. Click the hyperlink to view/edit the Attachments table.
Comments This field displays any comments regarding this expense estimate. If no comments have been entered, this field is blank.
Expense Date This displays the date you selected for the expense.
Details This field displays details related to the expense.
Estimate Enter the amount estimated for the expense.
Total Estimate This field displays the total estimated for the selected row.
