Contents of the Offboard Employees Screen

Use the fields and options to configure the Offboard Employees screen.

Field Description
Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made on the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made on the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display on the screen, you can override the defaults.

Field Description
Offboard Configuration

Enter, or use to select, the Offboard Configuration on which the offboard processing rules should be based. These rules are established in the Manage Offboard Configurations screen.

Employee

From the drop-down list, select one of the following range types:

  • One: Choose this option to offboard a single employee. Enter or use Lookup to select the employee's ID in the Starting Employee field. Ensure the employee does not already have a termination date in the Manage Employee Information screen and has a hire date that is on or before the specified Termination Date. The Ending Employee field will be cleared and disabled.
  • Range: Choose this option to offboard multiple employees. Both the Starting Employee and Ending Employee fields will be enabled and required. Employees within this range who do not have termination dates and have hire dates on or before the specified Termination Date will be processed.

If an error is found for an employee, the offboarding process will not proceed for that employee.

Starting Employee

If the Employee Range Type is One, enter or click to select the ID of the employee to be offboarded. The employee must be listed on the Manage Employee Information screen without a Termination Date and must have a Hire Date that is on or before the specified Termination Date.

If the Employee Range Type is Range, enter or use the Lookup function to select the ID of the Starting Employee. This field will not be validated.

If the Employee Range Type is Select, this field will be cleared and disabled.

Ending Employee

If the Employee Range Type is One or Select, this field will be cleared and disabled.

If the Employee Range Type is Range, enter, or click to select, the ID of the ending employee. This field will not be validated.

Termination Information

Field Description
Termination Date

Enter, or click to select, the termination date to be assigned to the selected employees. This field will be enabled and required.

Upon execution, this utility will update the Manage Employee Information and Employment History screens to include the termination date for the selected employees.

Last Day Worked

Enter, or click to select, the last day worked by the terminated employee(s). This field will default to the Termination Date and is for informational purposes only; it will not be used in processing.

Upon execution, this utility will update the Manage Employee Information and Employment History screens to include the last day work for the selected employees.

This value will be used to populate the terminated employees' Employment History (EMPLOYMENT_HISTORY) record. It will be included when the employee's termination information is exported using the Transfer Talent Management Data process.

Costpoint User Deactivation Date

Enter, or click to select, the deactivation date that will be assigned to any Costpoint user accounts linked to the selected employees. From this date onward, the user will not be able to log into Costpoint.

Upon execution, this utility will update the Manage Users screen to include the termination date for the selected employees.

Note: If you selected the Verify Employee Status at Login checkbox on the Configure System Settings screen, Costpoint compares the date you entered here to the Termination date on the Employee Info tab of the Manage Employee Information screen. If the Termination date and the Deactivation Date are the same, the user can still enter Costpoint on the deactivation date. If the Termination date is later than the Deactivation Date, the user will not be able to log in to Costpoint on the deactivation date.
Termination Type

Select the type of termination (Voluntary or Involuntary). If you select a Termination Type of Voluntary, only a voluntary Termination Reason can be specified. If you select Involuntary only an involuntary Termination Reason can be specified.

This field is mandatory when using Deltek Talent Management to ensure it can be exported during the Transfer Talent Management Data process.

Termination Reason

Enter, or click to select, the value that describes the reason for the employee's termination. The values in the lookup list come from the termination reason codes that are linked to a termination type on the Manage Termination Reasons screen. A termination reason code must be active as of the employee's termination date in order to assign it to the employee.

The Termination Reason field will be enabled after you select a termination Type (Voluntary / Involuntary).

This field is mandatory when using Deltek Talent Management to ensure it can be exported during the Transfer Talent Management Data process.

Rehire Eligibility

Enter, or click to select, the value that describes the employee's eligibility for rehire. The values in the lookup list come from the Manage Rehire Eligibility Codes screen. A rehire eligibility code must be active as of the employee's termination date before it can be assigned to the employee.

This field is mandatory when using Deltek Talent Management to ensure it can be exported during the Transfer Talent Management Data process.

Eligible for Rehire

This disabled field will display the Eligible for Rehire status assigned to the specified Rehire Eligibility in the Manage Rehire Eligibility Codes screen. The values are as follows:

  • Yes
  • No
  • Eligible for Re-Hire (Conditional)
E-mail Address

If the Employee Range Type is set to One, you can use this field to enter the terminated employee's personal email address. This information can be saved in the employee's Employment History record, allowing you to contact them if they are eligible for rehire and a new position becomes available. This field is enabled and required if all the following conditions are met:

  • The Employee Range Type is One.
  • Your company uses Deltek Talent Management.
  • The employee is eligible for rehire or conditionally eligible for rehire.

The specified employee's personal e-mail address from the Manage Employee Information will default, but you may edit the value.

This value will be used to populate the terminated employees' Employment History (EMPLOYMENT_HISTORY) record. This value will also be included when the employee's termination information is exported using the Transfer Talent Management Data process.

Termination Comments

Enter comments regarding the employee's termination. This value is required if you are using Deltek Talent Management and the employee is not eligible for rehire.
