Contents of the Manage Leads and Contacts Screen

Use the fields and options to configure the Manage Leads and Contacts screen.

Field Description
Lead / Contact ID Enter a unique ID to identify the lead/contact, or leave this field blank to have Costpoint automatically assign an ID if the Auto-Assign Lead/Contact IDs check box is selected on the Configure Contract Management Settings screen.
Lead Status

Select the status of the lead/contact. Valid options are:

  • Active: Select this option if you are currently pursuing the lead/contact.
  • Inactive: Select this option if you are no longer pursuing the lead/contact. Any business affiliations and associations that were created for the lead/contact prior to the inactivation will remain in the system.

When you change a New Lead or Qualified stage to Disqualified, Costpoint automatically changes this field to Inactive, but you have the option not to save the changes.

You cannot change the status from Inactive to Active if the qualified stage is Disqualified.

First Name Enter the first name of the lead/contact.
Last Name Enter the last name of the lead/contact.
Qualified Stage

Select the qualified stage of the lead/contact. Valid options are:

  • New Lead: Select this option if the lead you have identified is a new lead but is not yet considered a true contact and does not have any affiliated business or associated opportunities or contracts. A new lead can be associated to a related lead/contact.
  • Qualified: Select this option when the lead is determined to be a valid contact. Once a lead is qualified, business affiliations, contact associations, and activities can be entered for the lead/contact. In addition, the associated opportunities and contracts will display for the lead/contact.
  • Disqualified: Select this option when you determined that the lead/contact is no longer worth pursuing. When you disqualify a lead/contact, the Lead Status will change to Inactive (if not already inactive). Business affiliations and associations entered for this lead/contact will not be affected. Any existing data is maintained within the system.

Refer to the following table on what happens when you change the stage code.

Initial Qualified Stage Qualified Stage Changed To... Result
New Lead Qualified Allowed. The lead status can be Active or Inactive.
New Lead Disqualified Allowed. If the lead status is Active, Costpoint provides a warning message informing you that the status will be automatically changed to Inactive. You can click OK to continue and allow the change, or click Cancel.
Qualified Disqualified Allowed. If the lead status is Active, Costpoint provides a warning message informing you that the status will be automatically changed to Inactive. You can click OK to continue and allow the change, or click Cancel.
Disqualified Qualified Allowed. If the lead status is Inactive, Costpoint displays a message informing you that you can change the status to Active if desired.
Qualified New Lead Not allowed. Costpoint displays an error message.
Disqualified New Lead Not allowed. Costpoint displays an error message.
Stage Date

This field displays the date on which the Qualified Stage most recently changed. When creating a new lead/contact, this field stores the current date/time and will update automatically with the date the stage code is changed.

This information can be used to track the number of leads or contacts that were qualified or disqualified during a specific time frame. However, it will not keep a history of the changes. The stage date will always be the date of the most recent stage code change.

Owner ID

Enter, or click to select, the employee who is primarily responsible for the relationship of the lead/contact. The lookup displays only those employees with an Active status, but you can enter an employee with a different status.

Owner Name This field displays the name of the employee you selected in Owner ID.
Source Enter, or click to select, the lead/contact source. Valid values are only those that exist on the Manage Lead Source Types screen. Codes that display in the lookup have the Show in Lookup check box selected in Manage Lead Source Types. Only codes that are available in the lookup can be used for new records in Manage Leads and Contacts.
Rating Enter, or click to select, the lead/contact rating. Valid values are only those that exist on the Manage Lead Rating Types screen. Codes that display in the lookup have the Show in Lookup check box selected in Manage Lead Rating Types. Only codes that are available in the lookup can be used for new records in Manage Leads and Contacts.
Created By

This field displays the user ID of the person who created the lead/contact record. You cannot edit this field.

The unlabeled field to the right displays the date when the record was created. This field is also not editable.

Modified By

This field displays the user ID of the person who last modified the lead/contact record. You cannot edit this field.

The unlabeled field to the right displays the date when the record was last modified. This field is also not editable.

Do Not Contact Select this check box to indicate that this lead/contact does not want to be contacted further.
Do Not Email Select this check box to indicate that this lead/contact does not want to be emailed in the future.
Company Name Enter the company name for the lead/contact.
Title Enter the title of the lead/contact.
Phone Number Enter the main phone number for the lead/contact.
Fax Number Enter the fax number for the lead/contact.
Other Number Enter the other phone number for the lead/contact.
Address Line 1, Address Line 2, Address Line 3 Use these fields to enter the lead/contact's street address and any address information other than the city, state/province, country, or postal code.
City Enter the city for the lead/contact.
State/Province Enter, or click to select, the state or province for the lead/contact.
Postal Code

Enter, or click to select, the postal code associated with the city, state/province, and country.

When you enter a value that has been used before, Costpoint will display the city, state/province, and country associated with the postal code. If you enter a postal code that has not yet been used, the system stores it in the POSTAL_CD table along with the city, state/province, and country associated with it for future use.

Country Enter, or click to select, the country code.
Email Address Enter the email address for the lead/contact.
Notes Enter additional notes for the lead/contact.

Subtasks

Subtask Description
Business Affiliations Use this subtask to view business affiliations for the lead/contact and also to add business affiliations to the lead/contact record. The availability of the fields on this subtask depend on the lead/contact's qualified stage.
Activities Use this subtask to enter and view activities related to the lead/contact.
User-Defined Info Use this subtask to enter, edit, and view values for user-defined fields for a lead/contact.
Related Leads / Contacts Use this subtask to add leads/contacts that are related to the lead/contact you are accessing.
Opportunities Use this subtask to view the opportunities associated with the lead/contact.
Contracts Use this subtask to view the contracts associated with the lead/contact.
