Contents of the Organization Budgets/Outlooks Screen

This screen displays approved budgets or outlooks of an organization.

Use this screen to create or modify a budget for the Org level selected or develop an annual outlook for the organization. You can also use this to create/modify a lowest level organization's Annual Plan.

Note: Before you can create Org budgets you have to initialize the budgets from the Organization Budget Cycle Initialization (AOM3) screen.

Field Description
Organization ID

Enter, or click , to select the Organization ID.

Organization Name

Enter, or click , to select the name of the organization.

Include Inactive Orgs

Select this check box to include expired projects.

Note: After you select the Organization ID and Organization Name, click to populate the Organization Budgets Status Details table.
Create BUD

Select this option to create both labor and non-labor portion of the budget for an organization. Org budgets can be created at any level, so you can specify expense at a low level and manage at the top level. Once you create a budget at a lower level you cannot create a budget at a rollup level.

Create OLK

Select this option to create outlook for an organization. Use this to create/modify a lowest level organization's interim forecast. Outlooks tied to an approved org budget cannot be created at a rollup level unless the org budget it is tied to is at a rollup level.

Note: To create the outlook, select the budget row and click Create OLK. At that point, it will display the actuals for periods that have been closed. Costpoint Planning uses the budget as a base and overwrites the close periods with any actual data that exists.

Outlooks take the base from the last approved budget or outlook if run previously and populates the actuals in any periods that have been closed.   

Modify

Select this option to modify budget for an organization.

Commit

Select this button to commit the process after it has been completed. This option is enabled when the project has a Working status.

Commit takes the budget out of the working tables and makes it live. In a working state it is not reported on. Reporting only looks at the last committed budget. After processing is complete, the status changes to Complete. However, the outlook cannot be created until the budget is set to Approved. 

Delete

Select this button to delete the process.

Organization Budget Status Tables

The Organization Budget Status table on the main screen displays all the budgets associated with an Organization.

The table below describes the columns that display for the  Organization Budgets Status Details table.

Column Headings Description
Org ID This field displays the Organization ID numbers that the user is allowed to see based on the user’s Security Org ID.
Type This column displays the type of budget whether it is BUD or EAC.
Version If more than one budget exists, this field displays the version number of each.
Status This column displays the status of all budgets at lower levels of Work Breakdown Structure (WBS).
  • Working: The user created the budget but did not mark it as Complete, or the user cleared the Approved check box and clicked Modify.
  • Incomplete: The user created and saved the budget or outlook but has not yet selected Complete or Approved.
  • Complete: The user created the budget, saved changes, selected the Complete check box, and clicked Commit.
  • Approved: The user selected the Approved check box and clicked Commit.
Fiscal Year This column displays the fiscal year of the Org Budget.
Periods This column displays the number of periods for that fiscal year.
Closed Period This column displays the closed period for an outlook.
Complete This field indicates whether or not the budget is complete.

When Complete is checked, it lets Org budget approvers know the creator of the budget has completed the budget development process.

Approved This column indicates whether or not the budget is approved.
Escalation If an escalation was applied to the budget, this column displays the escalation rate.
Owner This column displays the budget owner.
Modified By This column displays the username of who modified the budget.
Modified This column displays the date last modified.
Labor Fee Rate This column displays the labor fee rate.
Material Fee Rate This column displays the material fee rate.
Sub-Contractor Fee Rate This column displays the sub contractor fee rate.
Other Direct Cost Fee Rate This column displays the rate of other direct cost.
Managers This column displays the name of the employee's manager.

Subtasks

After you click Create BUD and the process completes, select the row that you are working on to display the subtasks. Click the subtask links to display the lower level details of information.
