Contents of the Delete Historic Project EACs Screen

Use the Delete Historic Project EACs screen to simultaneously delete multiple versions of project EACs.

You can select the EACs to be deleted either by date or by version. This screen only deletes approved, complete, and incomplete EAC versions that are not marked as final.

Identification

Use the fields in this section to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can save query parameters for later reuse or for running the process as a scheduled job.   

Field Description
Parameter ID

Enter a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made on the screen.

When you save your record, all the selections made on the screen are stored with the parameter ID.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display on the screen, you can override the defaults.

Description

Enter a parameter description of up to 30 alphanumeric characters.

Note: Parameter ID and Description are only required if Job Management will be used to run the process.
Delete by Version

Select this option to delete the earlier versions of project EACs. If you select this option, historical EAC versions under all organizations and projects will be deleted.

Keep the latest __ EAC versions, delete prior versions

If you select Delete By Version, enter the number of most recent EAC versions that you want to keep.

For example, if you enter 2, Costpoint will keep the two most recent versions of the EACs and will delete any prior version. The final version will always be included in the number of versions to keep.

Delete by Date On or Before

Select this option to delete versions of project EACs by date. Use the drop-down list to select if you want to delete project EAC versions based on their creation date or closed period date.

In the date field, enter, or click to select, the reference date for deletion. If you select Created, versions created on or before this date will be deleted. If you select Closed Period, versions with closed periods on or before this date will be deleted.

Organization

If you selected Delete by Date On or Before, use this drop-down list to select the range of organizations to be included. Valid options are:

  • All: Select this option to include all available organizations. The Start and End fields are disabled for this option. This is the default.
  • One: Select this option to include only one organization and then enter that organization in the Start field. The End field is disabled for this option.
  • Range: Select this option to include a contiguous range of organizations. Enter the beginning organization for the range in the Start field and enter the ending organization of the range in the End field.
Project

If you selected Delete by Date On or Before, use this drop-down list to select the range of projects to be included. Valid options are:

  • All: Select this option to include all available projects. The Start and End fields are disabled for this option. This is the default.
  • One: Select this option to include only one project and then enter that project in the Start field. The End field is disabled for this option.
  • Range: Select this option to include a contiguous range of projects. Enter the beginning project for the range in the Start field and enter the ending project of the range in the End field.

Subtask

Click the Preview subtask link to display the EAC versions to be deleted before processing the deletion.
