Use the fields and options to configure the Configure Accounts Receivable Settings Screen.

Finance Charge Information

This block contains the information to calculate finance charges. This information is used as a system default for all customers. You can override it on an individual basis on the Credit Info tab of the Manage Customers screen.

Field Description
Automatically Apply Finance Charges on Accounts

Select this check box if you want Costpoint to calculate finance charges for customer statements automatically. If you select this check box, you must enter additional information so that the system can properly calculate the finance charges for past due accounts or amounts on credit.

Charge Interest on Finance Charges

Select this check box to apply finance charges on top of the sum of the previous invoice balance due plus prior finance charges. Leave the check box cleared to apply finance charges only to the unpaid invoice amounts.

Number of Grace Days

Enter the number of days after the due date that the system allows before it calculates finance charges or applies a minimum finance charge. This field cannot be blank.

Fee Percent to Charge Account

In this group box, enter either a monthly rate or the annual rate for the system to apply to invoice amounts that are not paid in full. The system then uses the annual rate divided by 360 to calculate a daily rate to be applied to outstanding balances.

Field Description
Monthly Rate

Enter the rate to be applied on a monthly basis. The annual rate is calculated automatically by multiplying the monthly rate times 12.

Annual Rate

Enter the rate to be applied on an annual basis. The monthly rate is calculated automatically by dividing by 12.

Ranges for A/R Aging

Use this block to enter default information for printing the Accounts Receivable Aging Report.

Field Description
Heading

Enter the headings of the columns on the Accounts Receivable Aging Report. For example, the typical first Heading entry is Current. Enter the remainder of the headings as ranges of days, such as 31-60 and 61-90.

These headings must tie in with the Days From and Days To ranges. The Days From and Days To ranges refer to "days past due" because aging is done from the due date rather than from the invoice date.

Days From and Days To

Enter the upper limit of the day ranges for aging accounts receivable in the Days To field. The program calculates each Days From value by adding 1 to the previous row's Days To value. Aging of invoices is done from the due date rather than the invoice date.

For example, if the range of days in the Heading field is 31-60 (meaning 31-60 days past due), enter 60 in the Days To field (this assumes that the previous Days To entry is 30). All columns on the Accounts Receivable Aging report are aged according to the days ranges specified in these columns and are labeled according to the label specified in the Heading column. Your days ranges and your column labels must correspond.

User Defined Labels

Use this group box to enter the labels for user-defined fields.

Field Description
User Defined Label 1 and User Defined Label 2

Enter a label for each user-defined field. You can use these user-defined fields to store additional categories of data about each customer. You enter the data in these fields on the Manage Customers screen, and the data is stored in the Customer table.

For example, you could use User Defined Label 1 to store the account manager who is responsible for the customer. On the Configure Accounts Receivable Settings screen, enter Account Manager in User Defined Label 1. In the Account Manager field on the Manage Customers screen, enter the name of each customer's account manager.

Table Window

The table window contains transaction types that have been previously defined by Costpoint. The system uses these transaction types to post transactions, and therefore they cannot be changed. Enter the account and organization combination that relates to each transaction type. This speeds up data entry on the Manage Cash Receipts screen and provide defaults for customers during their initialization.

Field Description
Transaction Type

This field displays the transaction type description that is provided by Costpoint. You provide the default account, organization, and reference numbers for each transaction type.

Account

Enter, or click to select, a valid account for the transaction type shown on each row.

Organization

Enter, or click to select, a valid organization for the transaction type shown on each row.

Bank Abbr

Enter, or click to select, a bank account abbreviation of up to six characters for the transaction type shown on each row. This is a required field.

Ref 1

Enter, or click to select, a valid reference number 1 for the transaction type shown on each row. You initialize reference numbers on this screen only if they will be used in data entry.

Note: The field Ref 1 may display a different label if it has been changed on the Configure General Ledger Settings screen. For example, AC 1.
Ref 2

Enter, or click to select, a valid reference number 2 for the transaction type shown on each row. You initialize reference numbers on this screen only if they will be used in data entry.
